OFFICE MANAGER & PERSONAL ASSISTANT (TO THE CREATIVE DIRECTOR)

Location: Wimbledon Studio

Salary: *£12 - 15 per hour (depending on experience).

*To be reviewed in October.

Employment Type: *Part-time Fixed Contract (3 months). 

*Full-time and permanent position to be reviewed in October.

 Period: Immediate start

Working hours:  Monday, Tuesday, Wednesday, Thursday (10:30 am - 4:00 pm) 

 
Purpose of the job:

The Creative Director keeps a very guarded schedule. It is imperative to understand and maintain the balance. Both at Blue Reign and for her family. 

 Given that our production process takes place onsite in our London studio, this role also requires the right individual to be able to support the designs and production team. 

Our team is small, but we are all proficient in our respective fields which means we get good results. An ideal candidate will be happy with both a laptop in the office but also able to flourish and deliver on the go.


The ideal candidate will need to be trustworthy, professional, personable and extremely organised. This instrumental role supports the day to day running of the office as well as assists the Creative Director with administrative and visionary responsibilities. Whether it be diary management or overseeing the refurbishment of the office, The Office Manager/CD's Personal Assistant role is a pivotal position designed to optimise the operation of the studio.

What you’ll do:

  • First point of contact for Creative Director
  • Arrange all meetings for the Creative Director (align personal and professional availability) 
  • Organise weekly internal team meetings (stand-ups, morning meetings, end of week etc.) and assist team (as required).
  • Manage the studio calendar.
  • Sort and distribute all mail and emails on behalf of the CD and respond where required
  • Receiving and signing for deliveries
  • Organising and supporting the Creative Directors’ general task list, and occasionally executing certain tasks on behalf
  • Managing the main company email channel
  • Oversee interview and onboarding process with prospective candidates (in person or online).
  • Equipping the studio with items to assist with the day to day running of the brand (purchasing furniture, refreshments, stationary equipment)
  • Participate in managing and designing refurbishment projects (the new changing area, office layout etc)
  • Organising the CDs creative documents, design folders, samples and swatch catalogue
  • Creation and maintain processes to optimise office efficiency
  • Travel to external events (e.g. photoshoots)
  • Proofread and amend written documents and formal notes etc
  • Liaise with the accountant (sending receipts, chasing, settling invoices as required)
  • Handle sensitive and confidential information (e.g. employee information and financial accounts)
  • Keeping up to date with changes to local council regulations
  • Organise company events (Showrooms and fit sessions, photoshoot locations, team lunches)
  • Build relationships with external partners and contractors (e.g. photographers, rentals agents, modelling agencies, shoot locations (as well as collecting the relevant permits and circulating the correct contractual/NDA’s)
  • Researching industry information where directed
  • Sending concepts and artwork for printing/execution
  • [Liaise with CD’s family/school]
  • [Schedule personal events]
  • Report directly to the Creative Director

 

What you’ll need:

  • 1 year (min) experience
  • Full UK Drivers Licence
  • Discreet and Trustworthy - this is a very personal role that requires connecting with many individuals (both personally and professionally)

      Requirements:
      - Must have a full drivers licence
      - Contour / Fashion Design Degree preferred - but not essential (training will be given)

      - Minimum of 12 months industry experience  
       
      Purpose of the job:

      The Production Assistant reports directly to the Creative Director. The ideal candidate will need to be self-driven and extremely organised. This pivotal role assists the Creative Director with the finer detailers involved in the technical development of Blue Reign garments. From sourcing, colour matching, costing to lab dips, testing and sampling; it is the role of the Production Assistant to support the Creative Director by understanding our garments from their earliest developmental stage right through to gold seal samples. Given that our production process takes place onsite in our London studio, this role requires the right individual to support the critical path used to prepare a garment for in house production.  Our team is small, but we are all proficient machinists. This means we can all support the production process when necessary. An ideal candidate will be happy behind both a laptop and a sewing machine.
       
      Production Assistant responsibilities:

      • Sourcing fabrics / notions for sampling and production
      • Maintaining and updating our suppliers list
      • Frequently updating our fabric library and swatch catalogues.
      • Monitoring the cost of notions, trims, fabrics, hardware and services
      • To update and refine tech packs and garment cost sheets
      • To travel to local London suppliers to collect fabrics, trims  
      • Updating our internal systems
      • Must be a confident with numbers, costs, measurements and scaling for volume 

      Responsibilities as a Machinist include:

       

      • Sampling (sealed & photoshoot standard)
      • Able to understand and follow tech packs accurately
      • Understand the construction of intimate apparel 
      • Assist small runs for sampling and production
      • High quality finish on samples and garments
      • Ability to use domestic and industrial machinery (we mostly use domestic)

      Purpose of the job:

      The role of Production Machinist is part of a growing internal team dedicated to the production and sampling of our garments. The ideal candidate will need to love sewing and machine-centric work. They will need to be extremely detail focused, fast and proficient whilst being able to execute finished garments to a high standard. These garments will be sent to wholesalers, showrooms and directly to our customer base. Given that our production process takes place onsite in our London studio, this role requires the right individual to be happy sewing at volume in aid of the production process.
      Our team is small, but we are all proficient machinists. This means we can all support the production process when necessary.

      Machinist Responsibilities:

      • Sampling (sealed & photoshoot standard)
      • Able to understand and follow tech packs accurately
      • Understand the construction of intimate apparel 
      • Execute sampling and production runs
      • High quality finish on samples
      • High quality finish on store inventory (sold garments)

      DESIGN ASSISTANT

      Requirements:
      - Contour / Fashion Design Degree preferred - but not essential (training will be given)

       

      Purpose of the job:

      The Design Assistant reports directly to the Creative Director. The ideal candidate will need to be innovative and results-driven. This instrumental role assists the Creative Director with the early stages of the design process. The right candidate would support the Creative director (with sketching, sampling, sourcing etc) whilst making sure all design decisions lead right back to our customers. The main responsibilities would include sampling from sketches using our existing pattern library, but also being able to draft patterns to support new creative directions and garments.

      The Right individual would enjoy taking a concept from the R&D stages right through to a sealed sample. The Design assistant would also be a key individual on shoots and would support styling. Given that our production process takes place onsite in our London studio, this role requires the right individual to support the critical path used to prepare a garment for in house production.  Our team is small, but we are all proficient machinists. This means we can all support the production process when necessary. An ideal candidate will be happy behind both a laptop and a sewing machine, working alone and as a team.

      Production Assistant responsibilities:

      • Research the industry and keep on top of trends whilst observing the Blue Reign aesthetic
      • sketching , technical drawing / CAD work
      • Sourcing fabrics / notions for sampling and production
      • Able to take a directed point of inspiration and present sketches, mood boards for new product directions
      • To develop first stage samples from sketches and to translate design rationale to Garment Technician
      • Early stage pattern drafting
      • Grading would be an added bonus
      • Support the Creative director and the Garment technician with sampling
      • Adequately prepare concepts for technical development
      • To take approved concept from pattern library straight into product and design development
      • Monitoring the development costs for each garment
